Terms of Service

Terms for using Qollabo responsibly within your organization.

Last updated: September 22, 2026

1. About the service

Qollabo is a collaboration application for workspaces, projects, cost estimates, approvals, finance requests, invoices, and related documents. Available features depend on your workspace and permissions. These terms govern application use alongside organizational agreements and applicable rules.

2. Accounts and authorization

Use an account you own or that your organization provides. Access is limited to authorized users. Google sign-in does not automatically grant workspace membership. Keep credentials confidential, do not share sessions, and promptly report misuse. Administrators manage membership and permissions within their authority.

3. Acceptable use

Use the service for lawful work. Do not access workspaces without permission, upload harmful content, disrupt the service, bypass access controls, or use third-party data without authorization. Ensure information and documents you submit are relevant, accurate, and authorized for their intended purpose.

4. Your data and documents

Uploading data does not transfer ownership of data or documents to Qollabo. You and your organization remain responsible for usage rights, content, and distribution. The service processes this information to provide the functions you use. Personal information processing is described in the Privacy Policy.

5. Approvals and business decisions

Application records, calculations, and statuses support your workflow. Authorized users remain responsible for reviewing budgets, documents, recipient identities, bank accounts, and approval decisions. An application status alone does not prove funds were received. Verify transactions and supporting records before making decisions.

6. AI and integrations

AI output may be incomplete or incorrect. Review responses, imports, and calculations before saving or using them. AI does not replace authorized decision-makers. Google, email, and other integrations are subject to their providers' availability and terms. Only enable integrations when authorized.

7. Availability and service changes

The service may experience maintenance, interruptions, or feature changes. Availability may also depend on connectivity and third-party providers. Commercial terms, fees, support, and service-level commitments, if any, are governed by a separate organizational agreement; this page does not establish subscription plans or prices.

8. Ending access

Administrators may revoke access according to membership, organizational policy, or security needs. Contact your administrator before leaving a workspace to arrange handover and any necessary data copies. Ending access does not automatically delete business records that the organization still needs to retain.

9. Responsibility and resolving issues

The parties' responsibilities follow applicable agreements and mandatory legal requirements. These terms do not remove rights protected by law. Raise service issues with your Qollabo workspace administrator so they can be reviewed and addressed under organizational agreements and applicable law.

10. Updates to these terms

The current version is available on this page with its updated date. Any notice or consent required for changes under applicable rules must be provided or obtained. Contact your Qollabo workspace administrator with questions about using the application.
